If you’re wondering why you can finish less than you’re planning at the end of the day, this may be due to your current working methods. Fortunately, there are simple rules that need to be considered in order to finish more work.

1. Use the right tools

The ability to use tools and equipment distinguishes us from other living things. If the right tools are used on a regular basis, they are possibly the most precise factor that positively affects our productivity.

Whether it’s a software, a machine or a chair, using the best tools for your business will make a big difference in the number of tasks you’ve completed at the end of the day.

2. Manage your time and tasks

A simple focus on time management can help you to use your time usefully. You should know your daily task list when you start the day.

It is useful to prioritize your tasks. How can you prioritize how the work is done and who will finish the task? You can do so

  • According to your manager’s demands
  • Based on the deadlines of the tasks
  • According to project plans
  • According to the benefits
  • According to the order of the assignments of the tasks
  • According to the problems that occur

While doing this, it is important to group tasks as urgent, important, not important etc.

3. Learn to say no

You should be able to say “no” to the situations that will interrupt your work. Except for urgent issues and a small number of special cases, you can alert people around you to avoid distracting you while working on a task.

4. Focus on a single task at a specific time period

The concept of concurrent work ability is often a misunderstanding. It is not possible to do this, especially if the work requires attention. Research shows that the efficiency and productivity decrease by switching between multiple tasks in the same time period.

5. Know when you are not efficient

We all have times where we feel inefficient during the day. What matters is whether you are aware of these specific times or not. When do you usually feel more inefficient? Morning, afternoon, or at night? You can utilize these times with easier tasks that you repeat every day.

After all, we’re not machines, and focusing on a single task for a long time could make us lose focus. Take a break from working when you feel tired or if you have a lack of focus, maybe a snack break might be good for you.

6. Sleep on it

It may sound illogical, but when you are trying to solve a problem and feeling exhausted, leave the job to the next day to be able to think with a fresh mind. The solution to a difficult problem has often come to my mind when I go home and lie down in the bed. If not, the next day, your fresh mind will help you solve the problem.

7. Benefit from previous works

The copy-and-paste method is very useful in some cases to improve efficiency. If you are a programmer, you can use ready-made codes, graphics, or slideshows/texts from previous presentations if you are preparing a presentation. Using drafts and templates will save you a lot of time. Creating a shared file in your company and sharing your work with other people will affect everyone’s productivity positively.
